AGM Meeting Minutes 5 May 2011
Minutes of the Board Meeting of Stoke Poges Singers
1. Present: Cheryl Cutting (Chair), David Horton (Secretary), Naomi Wordsworth (Treasurer), Joan Griffith, Dawn Stainer, Karen Stevens, Graham Roitt
Apologies for absence:, Sue Balfour, Joan Horton, Sue Tattersall, Marlene Lewis
2. Minutes of Previous Meeting: Minutes for the meeting of 14th April were accepted.
3. Matters arising:
a) Job descriptions: Cheryl, Karen and Marlene have still to complete theirs.
b) Dawn reported that Hedgerley Church hall is normally booked on Thursday evenings by a line dancing class, but that she would monitor the situation in case there becomes available in future.
However, it was generally felt that the choir should remain in Stoke Poges itself and members undertook to seek out an alternative venue to St. Andrew’s.
4. Treasurer’s Report: Naomi presented the accounts for year ended 31st March 2011. As yet she has received no confirmation from Kingsmead Sailing Club that they are satisfied with the distribution of moneys from the Barn Dance. Graham suggested that a budget be raised to cover concert costs for next year.
5. Conductors Report: Graham has managed to secure a tenor for “Messiah”. He has also sourced an electronic keyboard player and audio equipment for the Sunday concert. Graham would like to discuss music styles for future concerts, in view of the poor choir attendance for “Messiah”.
7. AGM: Cheryl announced that she would be standing down from the Committee and that therefore a new chair person would be required. Some names were suggested. A nomination form has been prepared and would be available to members in the run up to the AGM. The Secretary will draw up an agenda.
Refreshments will be provided after the meeting. There will also be a raffle and members will be asked to provide prizes.
8. Future Events:
a) 14/15th May – “Messiah”: Graham and Joan G. will now produce the programme for the event. David will e-mail Cilica to update the website with details of “Sing from Scratch” on the 15th.
b) 2nd July – SPS 40th /Conductor’s 10th Anniversary celebrations: No report received. It was agreed to invite past choir members to the event.
c) 9th July – ‘Away Day’: Graham has decided on the concert programme.
d) Open evening, 8th September: No decision yet.
e) Stoke Poges Clubs & Societies Fair, 10th September: No details have yet been received by the Secretary.
f) Autumn Social Evening, 1st October: Joan G. reported that the skittles alley at The Greyhound in Eton Wick is charging £5 pp for the alley and £16 to include food. This was considered to be excessive and an alternative activity would be sought.
g) 10th December – Winter Concert: No decision yet.
8. AOB: Cheryl suggested we support the Joe Boggi (Stoke Poges based injured soldier) appeal for future concerts.
9. Date of next Meeting: Thursday, 9th June 2011, 7pm at the Rose and Crown pub, to be confirmed at the AGM.
